Library

Manage the Organization Sources and choose which Assistants answer from each one.

Library is the Organization view of Knowledge. It lists every Source the Organization owns, across all Assistants. Open it from the main navigation.

An Assistant searches a Source only when a link connects the two. The Library is where you create and change those links.

Each tab shows a status dot. The dot reports the worst status in the tab. An error takes priority over processing, and processing takes priority over ready.

Status column

Every tab has a Status column. It shows one of three values for each Source:

Status	Meaning
Ready	The Source answers questions.
Processing	Ciele is crawling the website or indexing the document.
Error	The last attempt failed. The cell shows the reason.

Find a Source

Use the search box for the Source name. Use the filters to restrict the list by status or by linked Assistant. Each filter is stored in the page address, so you can share the filtered view.

Sort and filter a column

Select a column heading. A menu opens with the sort directions for that column, and its filter when it has one. A sorted column shows an arrow. A filtered column shows a dot.

The Library and the Documents of a Source hold more rows than one page. Ciele sorts them in the database, so the order covers every row and not only the page you see. The choice is in the page address, and you can share it.

Click the second mouse button on a row. A menu opens with the actions for that row. It has the same actions as the controls at the end of the row, in a place you can reach without a sideways scroll.

Click the second mouse button on a column heading for the same sort and filter the heading itself opens, with Reset column width below them.

Resize a column

Drag the line between two column headings. Double-click that line to return the column to its first width. Each browser keeps its own widths for each table.

Open a row

Move the pointer over the first cell of a row. An Open control shows at the right of the cell. Select it to open that row.

Select more than one row

Every knowledge table has a checkbox column. Editors see the column. Viewers do not.

Select the checkbox of each row that you want.
To take every row on the page, select the checkbox in the table header.
A bar opens above the rows. It gives the count and the available actions.
Select an action, or select the close control to clear the selection.

The selection holds the rows on the page only. A page change, a search, or a filter change drops the rows that leave the table.

Open a Source

Select the Source name in any tab. Ciele opens the Documents of that Source. The Documents count in the Content column opens the same page.

Column	Contents
Document	The Document title, with its address or its path below.
Memories	The number of memories from that Document.
Status	Ready, Excluded, or Pending.
Updated	When Ciele last stored that Document. Select the column to change the order.

Pending means that Ciele stored the Document but did not index it. A Pending Document is not available to Search knowledge. Excluded means that an administrator kept the Document out of the search index.

The page shows 50 Documents at a time. Use the page controls below the table for the other Documents. The browser back button returns to the Library tab. When you open a Document and go back, the table shows the same page in the same order.

Editors see a menu at the top right of the page. Re-crawl now starts a new crawl of a website. Delete removes the Source for all linked Assistants. In the Assistant Knowledge section the menu also has Remove from this assistant, which keeps the Source in the Library.

The Assistant Knowledge section has the same page. There it shows only the Sources that are linked to that Assistant.

Open a Document

Select a Document title in the table. Ciele opens that Document. The page has three tabs.

Chunks	The parts that the search index holds.

Content is the first tab. It shows the text as Ciele stored it. Use the copy control in the corner of the pane to copy all of the text. A long Document shows the first part. Select Show all for the remainder.

When the Source is an uploaded file, Download original gives you the file. Ciele does not show the file in the page.

The Details column on the right has three groups. Source names the Collection, the Source and how the Document arrived. Identity has the Document identifier, its path and its type. Activity has the storage time, the number of chunks and the exclusion control.

Excluded from retrieval keeps the Document out of the search index. An Editor can change it. A Viewer sees the state only. When you exclude a Document, Ciele deletes its chunks. When you include it again, Ciele indexes the Document again.

The card below the Details shows a Summary of the Document. Ciele makes the Summary when a member opens the Document for the first time. Ciele keeps it for all later readers. A recrawl that changes the page removes the Summary. The next reader gets a new one.

The card shows an Excerpt instead when there is no Summary. An Excerpt is the start of the Content. Ciele shows an Excerpt when the Organization has no provider connection, and when the Summary did not succeed. Because Ciele makes a Summary only on the first open, most Documents have no Summary.

The Chunks tab shows the parts of the Document that the search index holds. Ciele matches a question against these parts, so they tell you why an Assistant used this Document. Each card has its number and the start of its text. Select a card to read all of the text. The dialog has arrows for the previous part and the next part, the number of words and a copy control. Use the search box to find a word in the parts on the page. Ciele shows 50 parts at a time.

Memories

Ciele reads each Document and keeps the durable facts it states. A memory is one sentence with the part of the Document that supports it. Use memories to see what an Assistant learned from a page, without a read of the full page.

Ciele extracts memories after ingestion, in the background. The Document is available to Search knowledge before the extraction ends. Each Document keeps a maximum of 20 memories.

Condition	Result
The Organization has no provider connection	Ciele extracts no memories and shows no alert.
A recrawl does not change the page	Ciele keeps the memories and makes no new request.
A recrawl changes the page	Ciele extracts again. A fact that the page states again keeps its status.
The extraction does not succeed	Ciele shows one alert for the Source. The alert clears at the next success.

Ciele refuses a fact when the supporting text is not in the Document. This removes invented facts before they become memories.

Cost: one small model request for each Document, for each crawl that changes it. The Usage page shows this work.

Knowledge from before this feature

Ciele extracts memories at ingestion. A Source that Ciele crawled before this feature has no memories. The next crawl of that Source extracts them. The Memories tab of each of its Documents tells you which of these applies:

Memories need a Provider Connection	Connect a model in Settings, AI.
No memories yet	Nothing has extracted this Document. The next crawl does it, or an Editor selects Extract memories.
Extracting	A job is in progress. The line shows how many Documents of the Source are still queued, and it updates on its own.
Extraction failed	See the alert for the Source.

To get memories before the next crawl, select Extract memories. The control is on the Documents page of the Source and in the Library row. An Editor or a higher role can use it. Ciele queues only the Documents that need it and tells you how many. A second selection while the work is in progress queues nothing.

Cost: the same one small model request for each queued Document. Ciele starts no extraction for your Organization without this action or a crawl.

The Memories tab

The Memories tab of a Document lists its memories. The tab label shows the number of live memories. The Documents table shows the same number in its Memories column.

Select a row to open the memory. The dialog shows the sentence, its identifiers and the number of times the page stated the fact. The Evidence section has the text from the Document that supports the sentence. Select Open chunk to see the part of the search index that holds it.

Forget a memory

An Editor can forget a memory, with an optional reason. A Viewer sees the memory and no control.

Forget is a state, not a deletion:

the memory stays on the Document, with its evidence and its reason
the memory leaves retrieval, so no Assistant uses it
the tab hides it until you select Show forgotten
Restore makes it live again

A later crawl does not undo a forget. When the page states the fact again, Ciele counts the new statement and keeps the memory forgotten.

Linked assistants

The Linked assistants column names every Assistant that answers from the Source.

Open the Source row menu.
Select Manage assistants.
Select or clear each Assistant.
Save the selection.

The saved selection replaces the previous link set. An Assistant you clear stops searching the Source. The Source and its Documents remain in the Organization.

Direct access

Direct access applies to file Sources. When it is on for one link, the Assistant can give the Visitor the original file with the citation. When it is off, the Assistant cites the file but does not hand it over.

Direct access is a property of one link. Set it per Assistant, not per Source. The default is off.

Add a Source from the Library

Select the required tab.
Select the add action for that Source type.
Enter the Source content or select the file.
Select the Assistants to link.
Start ingestion.

A Source added here needs at least one linked Assistant. Nothing searches an unlinked Source.

Remove compared to delete

The Library and the Assistant editor offer two different operations.

Operation	Effect
Remove from this Assistant	Deletes one link. Other Assistants keep the Source.
Delete	Deletes the Source and its Documents for every linked Assistant.

When a Source is linked to more than one Assistant, the Assistant editor offers the removal first. The delete confirmation names every Assistant that loses the knowledge.

When only one Assistant is linked, the editor deletes the Source directly.

Shared knowledge in the Assistant editor

The Assistant Knowledge section lists the Sources added inside that Assistant. A Shared knowledge panel below it lists the Organization Sources linked from the Library.

Together the two lists are the full search reach of the Assistant. Use Open in Library to change a link or its Direct access.
